Board of Trustees Meeting
September 7, 2024
I. Call to Order
The meeting was called to order by association President, Bob Alimpich, at 9:00 am.
II. Trustees Present
Bob Alimpich, Liz Alimpich (excused), Debbie Bonneau, Janice Hall, John Medovarsky, Don McColman, Lynn Secord, Dottie Schulte (excused), Sandy Warner
III. Reading of the August 3, 2024 Minutes
Debbie motioned to accept the August 3, 2024 Minutes as read. Don seconded. All in favor. Motion passed. (202429)
IV. Treasurer’s Report
A balance sheet and profit and loss statement were presented for review. The letter from the CPA, Jennifer Kursinsky is published under other documents on the website. She states that the books of Lexington Heights are being reconciled correctly and can be relied upon. Bob mentioned that a letter will be going out with September statements that we will be taking people to court for delinquent dues. John discussed the recent auction of a property on Yale. The $650 in delinquent dues from that property will not be paid to Lexington Heights because of the foreclosure.
V. Member Comments
Kim Coburn on Oak asked that the sensitivity of the yard lights around the clubhouse be adjusted so he isn’t bothered by the lights going on and off during the night.
VI. Clubhouse/Julie Hayden
Julie introduced Jan Britz on Laurel. She is going to replace Julie as Clubhouse Manager in 2025. Thanks to Dottie for donating a tv for the clubhouse. Julie wants the Board to earmark some money for the clubhouse. She said the roof is leaking, the siding needs attention, and the bathrooms need updating. Sandy wanted to know how much money should be earmarked for the clubhouse. Bob said that we need to look at the foundation that is pushed out 4 or 5 inches. Bob and Reid went under the clubhouse. He talked about the floor joists having some dry rot. There is rotten wood under the clubhouse that needs to be addressed. He wants to go under there and video. He discussed the gutters need to be extended out and away from the building. Sandy wants to prioritize what we need to do at the clubhouse. There was a discussion about the roof and gutters. The priority is the roof, gutters, and drainage. The roof is 14 years old. Bob feels that the roof looks sound. Don will clean the gutters. There was a discussion about hiring a home inspector to look at the clubhouse. Lynn reminded the Board that an assessment of the clubhouse was done by the Board some years ago. She also feels that hiring an outside inspector isn’t needed when we have people in the community that we could use. Lynn feels that Julie knows the clubhouse better than anyone and that Mark and Mike Hayden, Bob Alimpich, and Joey Zajac would all be helpful in assessing repairs on the clubhouse. Sandy wants to see how much an inspector would cost and then prioritize the needed repairs and set aside money in the budget.
VII. Bluff/Parkway Debbie, Liz, Lynn, Sandy
The committee walked the bluff and worked very hard on Phase 2. Please see the website for the complete report. There was a discussion about the bench at Rosewood and if it should be set on a cement pad. Grapevines will be pulled on September 29 at 10:00 am starting at Woodside. There was a discussion about adding seed mats on the Juniper/Ivy bluff. Jan provided a number for the MI Environmental Council. (combatting invasive species) 517 487-9539 Debbie asked for us to obtain a quote for trimming the willows on the playground.
VIII. Beaches/Boat Ramp
John is waiting for Kirk to help with the jetty proposal. John has numbered 8 jetties. Don has volunteered to continue the numbering the jetties. John presented a form for job quotes. The boat ramp has held up well this season. John will look at expanded metal to add to the boat ramp in the spring. He estimates the cost to be $250.
IX. Clubhouse/Playground
Thanks to Jan Hall, Colleen, and Betty Jean for raking the playground. John will spray the weeds again soon. Jan is looking into what the State requirements are for upgrading the playground. Jan thinks it would be nice to add a bench to the playground. Debbie would like to see the willows on the playground trimmed next year. Debbie noted that there is a critter living in the Maple in front of the clubhouse.
X. Ongoing/Old Business
Debbie questioned a berm that Mr. Adkins is going to build on his property on Grove. A letter was written in 2022 allowing Mr. Adkins to use 20 yards of dirt on his property in a low area to the south and to transplant perennials on Lexington Heights’ property. Mr. Adkins recently asked for the letter to be extended. The original letter was rewritten for Mr. Adkins. Bob, Jan, Debbie, and Don visited Mr. Adkins’ property after the meeting to see where the berm is going to be put, and he was given the letter. There was a discussion about using beet dirt. Debbie said that the beet dirt doesn’t hold together and some feel that the beet dirt might be contaminated with chemicals. Jan questioned a camper at the end of Laurel and who’s property it is on. It is not on Lexington Heights’ property.
Sam Callus’ Spaghetti Dinner is on Saturday, September 21 at 6:00. $12/adults and $5/kids Julie reminded the Board that the clubhouse needs to be cleaned after the event. Sandy will talk with Karen about cleaning the clubhouse which includes tables washed, floors washed, bathrooms cleaned etc. Julie has a list of all needed supplies.
The Chili Fest is on October 12 at 6:00. We will discuss this further on September 28.
The Ivy light is still on. Sandy offered to call DTE regarding the Ivy light and a light on M25 near Maple.
XI. New Business
Sandy passed out a draft budget. The numbers are only Sandy’s assessment. A budget helps everyone know what you’re going to spend money on and how you have spent the money. People want to know where we spend the money. It’s just a picture of where we spend the money. We spend about 80% of the money on maintenance. She also suggested thinking about multiple years for a budget. Sandy will keep it updated. She would also like to see an annual January through December report that includes everything. John likes the pie graphic. There was a discussion about the draft budget. Bob thinks it is a good starting point.
John presented a draft quote sheet. He discussed how to fill out the quote sheet. Lynn will provide a binder to keep all quotes in.
CPR class on Saturday, September 28 at 12:00. No fee. Block captains were invited first. There is a limit of 20 people.
Lynn passed out a Board Information sheet to all Board members.
