Board of Trustees Meeting
June 1, 2024
I. Call to Order
The meeting was called to order by association President, Bob Alimpich, at 9:06 am. Bob extended the Board’s thoughts and prayers to Debbie and Jim.
II. Trustees Present

III. Reading of the December 2, 2023 minutes and May 18, 2024
Diana motioned to accept the December 2, 2023 Minutes as read. Dottie seconded. All in favor. Motion passed. (20244)
On the May 18 minutes, a correction on p. 2 add a w to anted. Dottie corrected that she would like the berm to be placed one foot from the edge of the bluff if there is room. Dottie motioned to accept the minutes. John seconded. All in favor. Motion passed. (20245)
IV. Treasurer’s Report
Diana presented Profit and Loss and Balance sheets. Total checking/savings is $65,094.74. $15,000 has been put into an escrow account for Mr. Wilson’s fee when we receive a final bill.

VI. Clubhouse Manager/Julie Hayden
Debbie Bonneau purchased (donated) flowers for the clubhouse. Debbie and Julie planted the flowers in front of the clubhouse. Thank you, Debbie. The fire extinguishers have been inspected at a cost of $112. Last year it cost $550. Julie did some negotiating for a discount this year. The inspection must be done yearly for insurance purposes and the fire department. They are tagged for one year. Julie purchased a new table skirt. A new battery needs to be installed in the front door. Mark has a trail camera that we can borrow. Diana will shadow Julie this summer and take over the rentals next season. Janice will clean the clubhouse after rentals. They will split the clubhouse manager’s job. There is a job description for the clubhouse manager’s job. The stipend is $595.
VII. Bluff /Parkway
Debbie, Diana, Liz, and Bob on Wednesday drove along the entire bluff and made notes on what needs to be done. Bob reviewed the notes on the bluff. Starting at Zenith, a railing will be put up. It will be made of pipe just like what is there. A post needs to be replaced at Tulip. Dottie will take care of it. There are a lot of trees that need to be cleared and cut at Tulip. We will need volunteers to help with that area. That will be a big project. At Satinwood, there is a drain that keeps getting blocked and it opens up a canyon on the ramp. It’s open now, but we need to figure out how to keep it open. There was a discussion about that drain. On Pine, trim north of Pine. At Oak and Pine, there’s another drain that needs attention. Bob would like to document the drains with pictures. Phragmites and vines need to be removed. Dottie questioned if we could do a controlled burn. Bob and others did not think that was a good idea for many reasons. Safety being the number one. Some of the projects on the bluff will be hired out and some will be done with volunteers. There is a Maple tree at Maple that we will trim. At the boat ramp, trees will be trimmed at the south side of the ramp. We will fix the chain and remove the old cable. The chain at the Worth ramp needs to be raised up. The third bench from Walbridge needs to be trimmed for a view. The fourth bench needs to be reset. All the rest of the benches need trimming for a view. The streetlight at Ivy is always on. Dottie will call and report to DTE. When Mike cut the parkway grass, he also trimmed the grass (12 inches high) along the bluff. Dottie takes care of the Juniper and Laurel steps. Diana would like the Block Captains to help with the maintenance of the stairs. Dottie hopes to go over the Block Captains at the Annual Meeting. Bob wants to look at all the stairways and the boards. Janice met with a woman from Saginaw Bay Invasives Group who did some work on eradicating invasives at Camp Cavell. The woman from Saginaw Bay commented on the vines and the invasives. She thought our bluff was beautiful. She commented that the sumac is important for holding the bluff. Bob wants to get some quotes on cutting the bluff. John mentioned the vines on the kayak stands need to be cut back. Members felt that people who store their kayaks on the stands should take responsibility for trimming around the stands (with Board approval). Dottie made a motion to set a budget for bluff maintenance at up to $10,000. Diana seconded. All in favor. (20246) Diana suggested making an escrow account for this amount. Don wanted it to be brought up to look at the big boulders to protect the bluff/beaches. Bob said that what we really need to look at where the jetties were cut down and repair those jetties. Bob mentioned how expensive those big boulders are to place and with the low water levels it is not needed at this time.
VIII. Beaches/Boat Ramps
John wanted to know where we can get a water source to power wash the boat ramp. Dottie thinks that Maureen will allow us to use water from their house. John will paint the ramp with primer and anti-skid paint. John will determine if any boards need to be replaced. Janice talked about the Oak ramp being slippery and there’s a water source causing this problem. Liz thinks we can run a small berm along there to channel the water down the ramp.
IX. Clubhouse
Bob plans to go under the clubhouse and look at the foundation. Dottie wanted to know if we could set a budget for the clubhouse. Bob would like to wait until we put some figures together. A special thanks to the Bidne family for raking the playground. After the meeting, Board members will go out and pick up the piles of debris and cut some branches. The willows need to be trimmed on the playground. Jan also raked the playground.
X. Sewers
No complaints of odors. John has noticed that the light has not been blinking.
XI. Ongoing/Old Business
The tent used to cover the serving area got broken last year. Bob tried to get replacement parts and none are available. He wants to purchase three smaller tents for the Corn Roast. Bob will price out the cost. Diana’s sister donated a used computer. Everything has been transferred over. Lynn will write Caroline a thank you. The new computer is lightweight. Dottie would like to set up an official Facebook page for Lexington Heights Inc. This Facebook page would be for information only. There was also a discussion about updating our website. Lynn wrote a draft letter to the community regarding the bluff. Lynn read the letter to the Board. Bob will look at the letter. Diana feels the letter needs to go to everyone in the community. There was a discussion about using trail cameras to monitor unauthorized cutting on the bluff. John said it needs a bracket so it is aimed only at the bluff and not at the street. The field of view can be 360. There are options. Clarity is pretty good and they record at night. A Board member will have the app on their phone. One costs about $125.00. Dottie made a motion to buy two (2) cellular trail cameras to be placed on the bluff. John seconded. All in favor. (20247) John will take care of ordering the cameras.
