Board of Trustees Meeting

July 13, 2024

I. Call to Order

The meeting was called to order by association President, Bob Alimpich, at 9:00am.

II. Trustees Present

Bob Alimpich, Liz Alimpich, Debbie Bonneau, Janice Hall, Diana Larsson, John Medovarsky, Don McColman (excused), Lynn Secord, Dottie Schulte

III. Reading of the June 1, 2024 Minutes

Dottie motioned to accept the June 1, 2024 Minutes as read. Liz seconded. All in favor. Motion passed. (202414)

IV. Treasurer’s Report

Liz presented Profit and Loss and Balance sheets. Total current assets are $118,184.69. Total accounts receivable are $34,332.85. They will be starting collections in the next few weeks.

V. Member Comments

Heidi B. thinks a Facebook page is a horrible idea. She thinks the Board should only utilize the website and update the website if needed.

Jan Hall likes the website for all the historical information.

Glady doesn’t think a Facebook page is needed. The website is adequate and provides information. She thinks it’s another administrative thing for the Board to take on.

Kurt R. also thinks a Facebook page is not needed.

Diana said the Facebook page would be only for information regarding Lexington Heights Inc.

Julie thinks Facebook is useful. She posted on Facebook last week to ask people not to park at the clubhouse due to a party being held.

Glady mentioned that she recently noticed a sewer smell.

Kurt R. doesn’t think much cutting needs to be done at Mill Creek only if something is blocking the water.

Sandy W. questioned the Board’s liability if there is damage from a live tree that goes down. There was a discussion on this topic.

VI. Clubhouse Manager/Julie Hayden

Julie ordered new table skirts.

We are still looking for a Clubhouse manager to replace Julie for next season.

Kurt R. suggested that we do some trenching to alleviate the water problem on clubhouse property.

VII. Committee Reports

Bluff/Parkway

Debbie caught a resident putting some mulch/grass clippings in a low spot on the Oak bluff. Debbie reminded him that was not allowed. Dottie thinks he needs to be fined. Debbie talked about how there were two fires years ago on the bluff. Jan reminded everyone that the bluff belongs to everyone in the community. Debbie reiterated that the parkway belongs to the Association. Money has been allotted for a berm. There was a discussion about the dirt for the berm. There was a discussion about how the road commission grades the roads.

Shawn Ryan has been working on cutting the bluff. He started at Walbridge and is trimming in front of the benches. He is trying to show progress at each bench, and he will be going back and doing more. Debbie wondered if the Block Captains could check their stairway and let us know if branches need to be trimmed. The Board could give them permission to trim their stairway if needed.

Beaches/Boat Ramp

John will check on the boat ramp. Lynn has boat ramp keys available for $25. Lynn would like to give Parker a key.

Lynn would like to encourage residents to rake their beach. Residents are welcome to rake their beach. There was a lot of debris after the recent storm.

After the recent storm, Bob checked on the Ivy stairway, where the jetty was cut down. He noted that the water was going up there, but it wasn’t doing any damage. Bob said that you can see that when the water level goes back up there will be a problem.

John provided a report on all the jetties. There are two jetties that the top is loose. Lynn will give John the name of a welder. Bolts need to be replaced. John will contact the welder.



Clubhouse/Playground

John is going to trim some branches on the playground. Glady will provide some yard waste bags.

Jan shared that she stopped some boys that were playing dangerously with a grappling hook on the playground. Bob thanked her for taking care of the situation.

Sewers

Bob has a concern about a methane gas smell near his cottage. He doesn’t know where it is coming from. John feels the mats are doing their job at the pumping stations.

Election Committee

Early voting will be on Saturday, July 20 from 11:00 – 3:00 at the clubhouse.

Voting will be on Saturday, July 27 from 11:00 – 3:00 at the clubhouse.

John wanted to know about the ballots from early voting. Those ballots are locked in the voting box. All ballots are counted on July 27 after voting is finished at 3:00.

Dottie, Lynn, Julie will work at early voting on July 20.

Lynn, Glady, Renee, Julie, Debbie, Jan will work on July 27.

Debbie, Glady, Lynn, Renee, and Jan will count the votes.

Lynn has proxies available.

VIII. Old Business

Facebook

Diana explained that she has set up a private Facebook page for Lexington Heights. The purpose of the Facebook page is for information only. Dottie thinks it can’t hurt to try a Facebook page. Dottie wanted to know what happened to Michele’s Facebook page. Jan Hall wanted to continue using Michele Hirschfield’s Facebook page. Michele Hirschfield has shut down the Lexington Heights Homeowner’s Association page. Debbie thinks we should improve our website. She doesn’t like the negativity on Facebook. Diana said this Facebook page is private and the administrators must approve any posting. Diana has studied how to set up a Facebook page. Debbie wanted to know what happens in a few years when different Trustees are on the Board. Dottie said then it gets renegotiated. Dottie thinks a Facebook page would be so useful and easy to post our activities. Bob doesn’t want any negative comments. Dottie says it’s not a free for all. Comments must be approved to be posted.

Julie shared that in FLA their park uses One Call to notify homeowners. Debbie feels we should use our website. Diana asked if Lynn is in favor of working with someone and getting a new website. Lynn is in favor of a new website. Lynn shared that she feels Facebook can be controlled. She also noted that having an official Facebook page has been discussed in the past. It would be used to notify people of a beach clean up or to post a link. Lynn is willing to be a moderator or an administrator at some point. Only Board members would be the administrators or moderators.

Dottie motioned to set up an official Facebook page on a trial basis for Lexington Heights Inc. Liz seconded. Debbie, Jan, and John voted No. Liz, Diana, Dottie and Lynn voted Yes. Bob voted Yes. Motion passed. (202415)

Diana and Dottie will be the administrators.

People will be emailed to join the Facebook page.

IX. New Business

Liz would like to purchase a shredder for the office.

Diana would like to have a special contract for when a community member uses the clubhouse for an event. This contract would be for when a community member wants to use the clubhouse. For example, a children’s craft day or for a local band to perform, a contract would be needed. That way the clubhouse would be cleaned up after the event. Bob said that the community enjoyed it when the band played. However, in the future a contract would stipulate cleaning up the clubhouse as part of using it. Bob also thinks a deposit ($200) would be needed. The deposit would be refunded after the event. Diana and Liz will take the current rental contract and change it for a community rental. Euchre is a Board sponsored event so a contract is not needed.

There was a discussion about generating money at such events at the clubhouse. (fundraising) This needs to be researched further. Money generated at a clubhouse event should be used for the benefit of the community. (50/50 drawing)

Debbie inquired about the key to the closet. Bob has the key.

Jan Hall returned an ACE gift card to the Board. The Board donated it to the Mill Creek clean up last summer. The Board will use it to buy Liz a shredder for the office.
